Privacy policy

Roc Heavy Haul · Jamaica · Last updated: 10 October 2026

Your contact details, load information and delivery locations deserve careful handling. This notice explains what we collect, why we use it, who may receive it and how to contact us about your rights.

1. Who we are and what this policy covers

Roc Heavy Haul is a heavy haulage, bulk material delivery and equipment transport business based in Mango Valley, St. Mary, Jamaica, serving all 14 parishes. For personal information we collect to handle enquiries and arrange our services, Roc Heavy Haul acts as the data controller: the business responsible for deciding why and how that information is used.

This policy covers information provided through this website, our quote form, the Smart Haul Advisor, and subsequent calls, emails and WhatsApp communications. It also explains information that may be needed when an enquiry becomes a hauling job. It is intended to be read in the context of Jamaica’s Data Protection Act, 2020 and applicable law. It does not replace a haulage agreement or a third-party provider’s own privacy notice.

2. Information we collect

Quote enquiries: your name, telephone or WhatsApp number, delivery parish or town, service requested, preferred date and project details or tonnage. Fields marked with an asterisk are needed to respond to your request. Other fields help us understand and plan the work.

Smart Haul Advisor: the load description, pickup location and delivery location you enter, together with the resulting recommendation and drafted quote message. You do not need to give your name or contact number to obtain a recommendation.

Communications: information you choose to share in calls, emails or WhatsApp messages, including contact details, site photographs, directions and correspondence. When a job is arranged, relevant records may include site contact names, loading and unloading instructions, access restrictions, equipment details, delivery confirmations, invoices and payment records. The website does not ask for card details or process online payments.

Technical information: hosting and service providers may process IP addresses, browser and device details, request timestamps, security events and diagnostic information needed to deliver and protect the website. The website does not request live GPS access; locations are the ones you choose to type or share.

3. Why we use your information

We use information to respond to enquiries, prepare and follow up on quotations, recommend a suitable haulage service, assess load and site requirements, schedule trucks, coordinate pickup and delivery, and communicate about a job. We may also use relevant records for invoicing, accounting, safety, permits, insurance, complaints and dispute resolution.

Technical information is used to keep the website available, detect misuse and investigate errors. A quote request is not an agreement to receive unrelated advertising. If we introduce optional promotional communications, we will explain the choice separately and provide a way to stop them.

4. Grounds for handling personal information

Depending on the activity, we rely on steps taken at your request before entering a contract, performance of an agreed service, compliance with legal obligations, or legitimate business interests such as handling enquiries, safe delivery, security and resolving disputes, balanced against your rights and interests. Where the law requires consent, we will request it for that specific purpose.

You may withdraw consent where processing depends on consent by contacting us. Withdrawal does not undo lawful processing that already occurred, and some records may still need to be retained for a separate lawful reason. Reading this policy or simply visiting the website is not blanket consent to all processing.

5. How the quote form and contact tools work

When you submit the quote form, the website attempts to email your submitted details to rocheavyhaul@gmail.com through our connected Gmail service. It also opens WhatsApp with a prepared message. Opening WhatsApp does not send a message: you must choose to send it in WhatsApp. If your browser blocks the new window, the website provides an “Open this request in WhatsApp” link.

If email delivery fails, the website displays an error and you can still contact us through WhatsApp or by telephone. A successful email confirmation means the email service accepted the request; it is not confirmation that a truck is booked, that a price has been agreed, or that a staff member has read it.

Calling, emailing or opening WhatsApp uses your device and the relevant communications provider. Those providers handle information under their own terms and privacy policies.

6. Smart Haul Advisor and artificial intelligence

The Smart Haul Advisor sends the load description and pickup and delivery locations you enter to an AI service through Lovable’s AI Gateway to produce a service suggestion and draft quote message. This processing happens when you request a recommendation, even if you do not later email or send the message on WhatsApp. It is optional; you can call us or use the standard quote form instead.

Do not enter passwords, bank or card details, government identification numbers, health information, or unnecessary information about other people. A town or general site location can be used for an initial recommendation; share exact access instructions with our team when needed.

AI suggestions can be incomplete or incorrect. They do not automatically approve a booking, set a binding price, or make a decision with legal effects. Our team confirms the final service, truck, availability and price. The email button sends the recommendation and route details to our inbox, but does not automatically provide a customer contact number; include a contact method if you want a reply.

The AI request is configured not to store the response through the API’s response-storage option. That setting does not mean no data is processed or logged: providers may handle information for service operation, security and other purposes under their applicable policies. We do not promise that provider retention or training settings are the same as this response-storage setting.

7. Who may receive information

Information is shared where relevant with staff handling enquiries and jobs; drivers, dispatchers and haulage partners who need pickup, delivery and site contact details; and service providers supporting hosting, email, communications and the optional AI tool. Our website uses Lovable for hosting and AI request handling, Google Gmail for quote emails, and WhatsApp (Meta) when you choose to communicate there. AI processing may involve the model provider used by the gateway.

For an arranged job, relevant information may also need to be provided to professional advisers, insurers, payment or accounting providers, permit authorities or other public bodies where necessary and lawful. We seek to limit sharing to what is relevant to the task. We do not sell customer personal information.

8. Processing outside Jamaica

Email, hosting, WhatsApp and AI providers may process or store information outside Jamaica, including in countries with different data protection laws. We are based in Jamaica, but use of this website does not mean every copy of your information stays in Jamaica.

International transfers must be handled in accordance with applicable Jamaican requirements, including appropriate protections or a lawful exception where required. Contact us if you need information about a particular transfer or provider before sharing sensitive information. We do not claim that all provider storage locations or contractual safeguards have been independently certified.

9. Cookies, external resources and links

The current customer pages do not include advertising pixels, a marketing analytics tool or a customer account login. Service providers may use essential technologies for delivery, security and reliability. The website loads fonts from Google Fonts, so your browser may send technical request information, such as your IP address, to Google when obtaining those fonts.

You can manage cookies and site permissions in your browser; restricting essential technologies may affect functionality. Gmail, WhatsApp and other linked websites may use their own cookies and tracking after you open them. This policy does not control those third-party services. If optional tracking is introduced, we will update this notice and provide any choices required by law before using it.

10. How long information is kept

Enquiry and quotation correspondence is kept for as long as reasonably needed to answer and follow up on the request, maintain appropriate business records or resolve a dispute. For completed jobs, relevant delivery, invoice and accounting records may need to be kept longer to meet legal, tax, insurance or contractual requirements.

We consider the purpose, sensitivity, legal requirements and any unresolved claim when deciding retention, rather than assigning one period to every record. When information is no longer needed, it should be deleted or anonymised where practicable. Provider backups and security logs may follow different retention cycles. Contact us about the records relevant to your enquiry; this policy does not promise immediate removal of every provider backup.

11. Security and incidents

We aim to protect personal information through appropriate access restrictions and the safeguards available from our communications and hosting providers. Information should only be accessed or shared for a legitimate business purpose. No website, email account or messaging service can guarantee complete security.

Avoid sending sensitive documents through the quote form or AI tool. If you believe information has been sent to the wrong person, an account has been misused, or a security incident has affected your information, contact us promptly. Where a personal data breach occurs, we will assess the incident and make notifications to the regulator and affected people where required by applicable law.

12. Your data protection rights

Subject to the conditions and exceptions in Jamaican law, you may request information about whether and how your personal data is processed and access to it; ask for inaccurate information to be corrected; seek blocking, erasure or destruction where the law permits; and object to certain processing, including direct marketing. Applicable protections relating to solely automated decisions may also be relevant. These rights are not unlimited, and a legal recordkeeping obligation or another person’s rights may affect a request.

Send a request to rocheavyhaul@gmail.com with “Privacy request” in the subject line, identify the relevant enquiry or job and explain what you need. You may also call us. We may ask for proportionate information to verify your identity or authority; do not send identity documents unless requested through an agreed method. We will respond within the applicable legal timeframe and explain any lawful refusal or limitation. We will not assume that rights available under another country’s law automatically apply in Jamaica.

13. Other people’s information and children

If you provide a site supervisor’s, recipient’s or another person’s contact details, only share what is necessary, ensure you have authority or another lawful basis to do so, and let them know that their details will be used to coordinate the hauling service. Do not upload photographs containing unnecessary personal information.

Our services and enquiry tools are intended for people arranging commercial or personal hauling, not for children. We do not intentionally seek personal information from children. If you believe a child has provided information without appropriate authority, contact us so we can review it and take appropriate action.

14. Questions and complaints

Please contact Roc Heavy Haul first if you have a privacy concern, so we can investigate and respond. You may also raise a complaint with Jamaica’s Office of the Information Commissioner (OIC), the regulator responsible for data protection. Contacting us first does not prevent you from approaching the regulator.

15. Changes to this policy

We may update this policy when services, providers, information practices or legal requirements change. The date at the top identifies the latest version. Where a change requires a new notice or consent, we will provide it as required. This policy describes website handling and intended business practices; it is not a claim of regulatory certification.
